This privacy policy provides information about the processing of personal data when visiting our website, when using integrated services and in the context of our entire business communication and mandate processing.

We process personal data to:

  • Provision and security of our website,
  • Handling of all business communication (e-mail, video conferencing),
  • Mandate initiation, implementation and conclusion (incl. web file and electronic signature),
  • Fulfilment of our accounting and tax obligations,
  • Management of consents on our website (cookie consent),
  • Analysis of user behaviour to improve our offer,
  • Provision of multilingual content.

3. data processing in detail

3.1 Website hosting: lima-city

Our website is hosted by lima-city (TrafficPlex GmbH, Konsul-Smidt-Str. 90, 28217 Bremen, Germany). Server log files (e.g. IP address, date, time, page accessed) are processed each time the website is accessed to ensure security and stability. This serves our legitimate interest (Art. 6 para. 1 lit. f GDPR). The data is deleted after a short time. We have an order processing contract (AVV) with our hoster.

3.2 Content Delivery Network (CDN): Cloudflare

We use the Content Delivery Network (CDN) from Cloudflare, Inc. (101 Townsend St, San Francisco, CA 94107, USA). A CDN helps to deliver the content of our website, especially large files such as images or scripts, faster by using globally distributed servers. When you access our website, your requests are routed via Cloudflare's servers. This allows Cloudflare to analyse data traffic in order to detect and ward off attacks, for example. This serves to protect against malicious access and to optimise the loading times of our website, which constitutes a legitimate interest (Art. 6 para. 1 lit. f GDPR). Data transfer to the USA is based on the standard contractual clauses of the EU Commission. There is an order processing contract with Cloudflare.

3.3 Web analytics: Google Analytics 4

We use the analytics service on our website Google Analytics 4, a service provided by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland). This service enables us to analyse the use of our website in order to improve our offering. Google Analytics uses cookies and similar technologies to collect information about your user behaviour. The IP address is anonymised by default. The data collected (e.g. pages visited, length of visit, approximate location) is usually transferred to a Google server in the USA and stored there. This processing takes place exclusively on the basis of your consent (Art. 6 para. 1 lit. a GDPR), which you can give and revoke at any time via our consent management tool.

3.4 Consent management: CCM19

We use the Cookie Consent Manager „CCM19“ Papoo Software & Media GmbH (Auguststr. 4, 53229 Bonn, Germany) to manage and log your consent for optional services and cookies on our website. This is necessary to fulfil our legal obligation to provide evidence (Art. 6 para. 1 lit. c GDPR). CCM19 stores your decision in a cookie on your end device.

3.5 Multilingualism: TranslatePress

We use the plugin on our website TranslatePress, to make our content available to you in different languages. The provider is Cozmoslabs SRL (Timișoara, Romania). Your preferred language setting can be stored in a cookie in order to display the website directly in the selected language when you visit it again. This serves the purpose of user-friendliness (legitimate interest, Art. 6 para. 1 lit. f GDPR). If external services such as Google Translate or DeepL are used for the translation, texts to be translated may be transmitted to their servers. This is done on the basis of your consent (Art. 6 para. 1 lit. a GDPR).

3.6 E-mail and video conferencing: Mailbox.org

All our e-mail communication and online meetings are conducted via the services of Mailbox.org (Heinlein Hosting GmbH, Schwedter Str. 8/9B, 10119 Berlin). The use of a professional provider with a focus on security and data protection and a server location in Germany serves our legitimate interest in confidential, available and data-saving business communication (Art. 6 para. 1 lit. f GDPR). Processing is also necessary for the initiation and fulfilment of contracts (Art. 6 para. 1 lit. b GDPR). There is an order processing contract (AVV) with Heinlein Hosting GmbH.

3.7 Mandate processing: WebAkte & inSign

For secure communication and document exchange, we use the WebFile (e.consult AG, Saarbrücken). For legally valid electronic signatures we use inSign (inSign GmbH, Marzling). Both services process mandate-related data on our behalf to fulfil our contractual obligations (Art. 6 para. 1 lit. b GDPR). Contracts for order processing (AVV) exist with both providers.

3.8 Financial accounting: tax consultant & DATEV

In order to fulfil our obligations under tax and commercial law (Art. 6 para. 1 lit. c GDPR), we transmit data relevant to accounting (e.g. invoices) to our external tax advisor. This processes the data using the software of DATEV eG (Nuremberg). Our tax consultant is subject to professional confidentiality and acts as an independent responsible party.
